How do I use the Data: Manage Fields section?

The Manage Fields page will display your product categorization (hierarchy) and all data fields tied to your categories. You can then manage your set of fields by setting a unit of measure for advanced Switch conversions. If you have the Advanced Visibility Plugin turned on you can set field level Visibility (example: restrict fields to specific partners or people).

How do I get started with the Manage Fields page?

Start by selecting the section of your product hierarchy (categorization) that you would like to edit the fields of. The top section "Your Virtual Data Master" is the database of your product data built within your account by the various data spreadsheets that have been uploaded and activated. Click to select the lowest level of the hierarchy to view the fields in that level in the table below it.

What is the Original Field Name?

The Original Field Name is the name of the field as it was uploaded by the manufacturer in their data spreadsheet.

What is a Friendly Field Name?

A Friendly Field Name is how the name of the field will appear within the Shotfarm platform by default to you and your partners. It will be a Shotfarm Core Field such as "Model Name" or "Model Number" which are used globally across accounts for searching. This is also the name of the field that will be exported to your partners.

What is the Field Description?

This is simply an optional description that is used to describe your fields. The description will be visible when you or your coworkers map to partner fields in the "Map Switches" page of your account. Field descriptions can be very helpful when field names are not readily clear as to their purpose.

How do I add a Field Description?

Field descriptions must be added in your Data CSV during upload on the Manage Data page.

What is the Field Type and Unit of Measure?

In the near future Shotfarm Switches will be able to convert field data such as a unit of measure from the manufacturer's dataset into the unit of measure the retail partner requires. So if the manufacturer's product weight is supplied in kilograms and the retailer requires ounces, we can automatically convert the data when pushed through a Switch. Prepare now by setting your Field Type (example: Weight & Mass) and the unit of measure your field's data is supplied (Example: Pound). Then determine if you'd like to apply the changes to the specific product category you are in by clicking "This Category", or apply to all categories that the field is in across your product set ("All Categories"). Then click the "Save" button in the upper right corner. Your Virtual Data Master may need to update to save the changes. You will see a notification at the top of the page if this occurs.

What is Visibility?

Visibility at the product or asset level can be changed at any time on your Assets page and applies to all data fields for that product. If you need to restrict Visibility of individual fields you will need to subscribe to the Advanced Visibility Plugin. Once subscribed you can manage field level Visibility on your Manage Fields page. You can change the field Visibility to one of the below options:

  • Same as Product: This is the default state. Fields inherit the Visibility level of the product or asset as set by your data CSV or on the Assets page.
  • Private (Just Me): This restricts view and download privileges of this field to just yourself. No other coworkers or partners can view and download this field.
  • My Company: All users within your company can view and download this field.
  • Specific User(s): This restricts view and download privileges to the user within your company that you select. No other coworkers or partners can view and download this field.
  • My Partners: This allows all of your partners to view and download this field. Manufacturer accounts grant partnership to retailers on the Manage Partners & Access page.
  • Specific Partner(s): This allows you to select one or more partners that can view and download the field. Other partners will not be able to view and download that field.

NOTE: Make sure you determine if you'd like to apply the changes to the specific product category you are in by clicking "This Category", or apply to all categories that the field is in across your product set ("All Categories"). Then click the "Save" button in the upper right corner. Your Virtual Data Master may need to update to save the changes. You will see a notification at the top of the page if this occurs.

What happens if I deactivate and reactivate my dataset?

Manage Fields settings are retained even if you turn off your data CSVs as long as the field names and categorization is retained.
